Objective

This playbook outlines the process for integrating a licensee’s instance of Rockerbox’s WOTC Optimization software into third-party technology platforms such as ATS, HCM, and Payroll systems. It serves as a guide for both Rockerbox and its licensees to ensure a seamless and efficient integration while maximizing WOTC screening participation rates.


Pre-Integration Requirements

Before launching an integration project, Rockerbox requires the following information from the licensee:

  1. Company Legal Name
  2. Third-Party Technology Platform (e.g., ATS, HCM, Payroll) for integration
  3. Integration Phase – Will the WOTC Screening Questionnaire be placed in:
    • Applicant Phase
    • New Hire Onboarding Phase
    • Other (Specify)
  4. Number of New Hires per Year
  5. Access to a Testing Environment – Does the end-client have a sandbox or staging area available for testing?
  6. Licensee Familiarity with the Third-Party Platform – Has the licensee:
    • Seen a demo of the third-party system?
    • Determined the best placement for the WOTC questionnaire?
  7. Available Documentation – What documentation exists to guide how the integration will work?
  8. Expected Go-Live Date – What is the planned launch timeline for the integration?

1. Where – Placement of the WOTC Screening Questionnaire

Determining where the WOTC Screening Questionnaire should be presented within the third-party system is critical for maintaining high screening percentages (85%+). The licensee is responsible for working with the end-client to identify the most effective placement by considering:

  • Applicant Phase vs. New Hire Onboarding Phase – Rockerbox generally recommends placing the questionnaire post-offer to ensure sufficient applicant demographic data is available.

  2. Eligibility Data Pushback – What WOTC eligibility data can Rockerbox send back into the third-party platform?
  3. End-Client Hierarchy & Reporting – Understanding location structure and reporting requirements for accurate data mapping.
  4. Payroll Data Access – How can Rockerbox access payroll data to automate tax credit calculations?
